Zoho Books

Connect Zoho Books to link finished work with Zoho invoices, see who owes you, and find work nobody has billed, without typing it twice.

Last updated: 2026-10-23

Connect Zoho Books when your accountant keeps the books in Zoho and your team runs the work in Sela. Sela reads your Zoho customers and invoices, shows each job's Zoho invoice and balance next to the job, tells you which finished work has no invoice yet, and can send an approved Sela invoice to Zoho so nobody types it twice.

Who can use it#

  • Plans: Operations, Scale and Enterprise, every Growth or larger bundle, custom packages that include it, and every workspace during its trial. See Plans and billing.
  • Connect, choose the organization, disconnect: owners, admins and anyone with settings access.
  • Confirm customer matches, run a sync, approve invoices for Zoho: people who can manage billing.
  • See Zoho invoices, receivables and unbilled work: people who can read billing.

Connect Zoho Books#

  1. Open Settings → Integrations, choose Zoho Books, then Connect Zoho Books.
  2. Sign in to Zoho and allow Sela. Sela asks to read and create contacts and invoices, and to read your organization settings. It never asks to edit or delete existing records.
  3. If your Zoho account has more than one Zoho Books organization, choose the one Sela should use and select Use this organization.

Sela starts the first sync at once. Zoho accounts in any Zoho data center work; Sela uses the one your account belongs to.

What Sela syncs#

  • Invoices: every 2 hours Sela reads the invoices that changed in Zoho since the last sync, with their number, customer, status, total, balance, currency and due date. The first sync reads all of them. Select Sync now to sync at once (once a minute at most).
  • Customers: your Zoho customers are read once a day.
  • Nothing is deleted or changed in Sela by a sync, and Sela never edits or deletes anything in Zoho. Amounts stay in each invoice's own currency, such as IQD or USD, and are never added together across currencies.

If Zoho asks Sela to slow down, the sync pauses and continues on its own. The settings page shows the last sync and the last problem, if there was one.

Match Zoho customers to Sela customers#

Under Customer matching, Sela suggests which Sela customer or company each Zoho customer is, when they share an email address, a phone number or exactly the same name.

  • Suggested: check the suggestion and select Confirm, or Not this to drop it.
  • Not matched: select Find the Sela customer…, search by name and pick the customer or company.
  • Matched: select Unlink to undo a match.

Invoices Sela sends to Zoho use these matches to pick the Zoho customer. A sync never overrides a match you confirmed or dismissed.

Send an invoice to Zoho#

Ask the Sela Companion or a connected AI app, for example "Send invoice INV-0007 to Zoho" or "Bill the Q4 menu job in Zoho". It prepares a review card; nothing reaches Zoho until someone who can manage billing approves it.

  • From a Sela invoice: the invoice must be approved. Its lines, discount, tax and total are copied exactly; tax becomes its own line. The Sela invoice number is the Zoho reference.
  • From a finished job without a Sela invoice: a completed or won work item with a value becomes one invoice line.
  • The Zoho customer: the job's customer when it is matched. Otherwise the card names an existing Zoho customer you choose, or creates the customer in Zoho from the Sela customer's name, email and mobile, when you say they are new to Zoho. The currency must match the Zoho customer's currency.

The card shows the customer, every line, the discount, the total, the reference and the due date. After approval, Sela creates the invoice in Zoho as a draft and does not email it; send it from Zoho Books when you are ready. The card's receipt says when it is done, with the Zoho invoice number, or why it could not be created. If something went wrong, ask again: Sela checks the reference first, so the same invoice is never created twice.

When the invoice already exists in Zoho, ask the Companion or a connected AI app to link it to the job, for example "Link Zoho invoice INV-000500 to the Q4 menu job". Approving the card records the link in Sela; nothing changes in Zoho. If the Zoho invoice changes before you approve, the card asks to be prepared again.

Where you see it#

  • Billing: each job shows its Zoho invoice with the Zoho status (draft, sent, overdue, partly paid, paid) and the balance still owed, next to the matching Sela invoice.
  • Receivables: the Companion and connected AI apps can answer "Who owes us money?" with totals per currency, how overdue they are (not yet due, 1–30, 31–60, 61–90 and over 90 days), the customers owing most and the most overdue invoices. Drafts and void invoices are not counted.
  • Unbilled work: "What did we finish this month that isn't invoiced?" lists completed or won work with no Sela or Zoho invoice, and work whose Sela invoice is not in Zoho yet, with its value per currency.

Disconnect#

Open Settings → Integrations → Zoho Books and select Disconnect. Sela revokes its access in Zoho, deletes its stored access and stops syncing at once. Links between Sela work and Zoho invoices stay, and nothing is deleted in Zoho or in Sela. If Zoho itself removes Sela's access, the page asks you to Reconnect.

Troubleshooting#
