Add products or restaurant dishes, import them from files, set options and add-ons, track stock, publish a public catalog, and control what the AI can quote.

Your catalog is the list of things you sell: products for a store, dishes for a restaurant. It is the source of truth the AI reads when a customer asks "do you have it?" or "how much?", and the menu your storefront sells from. This page shows how to build it, import it in bulk, add options and track stock, publish a public link, and keep it accurate.

Which screen you get depends on your Environment (Settings, then Environment):

How the AI uses your catalog#

When a customer asks about an item, the AI searches your products or menu, then reloads the exact record before it states a price or availability. In practice:

  • It quotes the stored name, price and currency, and gives the stored product link when there is one.
  • Items priced Quote required or Display label are never presented as an exact price.
  • It matches by name, Arabic and English names, and aliases. If nothing matches exactly, it may offer a few close candidates and ask the customer which one they mean. It never treats a close candidate as confirmed.
  • Search results are limited (the first 1,000 products or active dishes), so an empty result is not treated as proof that an item does not exist.
  • Detailed dish and size lookups use the current published restaurant menu. Sold-out dishes stay identifiable with their sold-out status; hidden, archived and retired menu records cannot establish current availability.
  • A workspace with no catalog (General business, Appointments) cannot quote products. It can only answer from the knowledge base and hand off to your team.

If the drafted reply contains a price or name the tools did not return, a second check rejects it and the customer gets a hedged answer instead. If that happens repeatedly the conversation is handed to your team. See Improving answer quality.

Add products (store)#

  1. Open Store, then Inventory.
  2. Select Add Product.
  3. Fill in the fields, then select Save Product.

CategoryChoose an existing category from the dropdown, or select Add category, enter its name and select Add. Save the product to keep the new category. Products with the same category text share one group in the list, public catalog and storefront. No category removes the grouping.
Arabic categoryOptional. The category label Arabic visitors see on your storefront. Give every product in a category the same Arabic label; the storefront uses the first one it finds. Leave it empty and the Category is shown in both languages.
PricingFixed price, Starting at, Display label, or Quote required.
Price amount and CurrencyRequired for fixed and starting prices. Currency is IQD or USD. Sela never converts currencies.
DescriptionShown on the storefront and to the AI as evidence about the product.
Arabic descriptionOptional. Shown to Arabic visitors of your storefront, and returned to the AI with the product so Arabic replies can use it.
Product imageUsed in the public catalog and for matching photos customers send.
Availability (In stock)Out-of-stock items stay visible but are reported as sold out.

Consultation stores also see fields such as Custom-made, Lead time (days), Installments, Required measurements, Recommendation notes, Visual description and Style tags. They help the AI recommend options and route custom cases to your team.

On the storefront, a visitor reading in English sees the Description and Category, and a visitor reading in Arabic sees the Arabic description and Arabic category. When one language is empty, the other is shown instead. Storefront search and AI catalog search match both languages.

Use Alternative or street names generously. Arabic spelling variants are normalized for search, but only a saved alias can bridge a nickname such as a brand slang term.

Inventory is the home for adding, editing and deleting products. Choose Rows for a stock table or Cards for product images and descriptions. Search and the All, Low stock only and Sold out only filters work in both views. Both views let you adjust stock, change availability and open the product editor. Stock operations and tracking settings still require their respective workspace permissions. Old Products links redirect to Inventory.

Uploaded catalog photos reuse loaded image data on repeat visits. If a smaller image cannot be prepared temporarily, the original photo remains available and a later visit can retry the smaller version. Replacing a photo gives it a new link so visitors can load the replacement.

Import products in bulk (store)#

Open AI assistant, then Catalog learning for file, image and Instagram imports. This tab also holds import drafts and Instagram reply-style suggestions. Product editing and stock controls remain in Inventory.

Imports need the AI Assist add-on with credits, because the AI reads and structures the file. An import never publishes anything by itself: it produces drafts that you review first. See Plans and billing for plans and credits.

CSV and Excel format#

In the Import catalog dialog, select Download CSV template. The columns are:

  • Only name is required.
  • descriptionAr and categoryAr are optional and fill Arabic description and Arabic category. Header matching ignores case, spaces, hyphens and underscores, so description_ar and category_ar work too, as do الوصف بالعربية and الفئة بالعربية.
  • pricingMode is fixed, starting_at, quote_required or label_only. Fixed and starting prices need a positive amount and an explicit IQD or USD. A missing price becomes Quote required.
  • inStock accepts true/false, 1/0, yes/no, available/unavailable, or Arabic equivalents. If you omit it, the draft is marked unavailable with a warning.
  • Friendly English and Arabic headers such as product name or اسم المنتج are accepted.
  • For Excel, use a worksheet named Products, or a workbook with exactly one visible sheet. Formulas are rejected.
  • Arabic digits and properly grouped thousands work. Ambiguous comma decimals fail with a row error.

Review and publish the drafts#

Review import drafts in AI assistant, then Catalog learning. Published products appear in Inventory.

  1. After the upload, the review cards show names, aliases, price, stock, warnings and the source evidence.
  2. Edit anything uncertain (Save draft) or reject drafts you do not want.
  3. Select drafts and choose Publish selected. Up to 500 drafts publish at once.

Published products are available to the AI immediately. Publishing a draft whose name already exists fails, and imports never overwrite existing products.

Import progress, confidence and cautions have text labels alongside their status colors in light and dark modes. Cautions stay separate from informational notes.

Re-uploading identical file contents reuses the earlier import. After a failed import you can upload again to start a new attempt.

Learn employee reply style#

Open AI assistant, then Reply style, to learn from your team's saved Instagram, Messenger and WhatsApp replies. Review the suggested style before selecting Apply style. This is separate from catalog imports and requires AI Assist. See Learning employee reply style.

Restaurant dishes#

Open Store, then Inventory in a Restaurant workspace. Inventory is the home for adding and editing dishes, managing categories, and changing availability. Old Restaurant menu links redirect to Inventory. The separate Restaurant menu entry has been removed from Automation.

Choose Rows for a dish table or Cards for dish images and descriptions, just as in store inventory. Search names, categories, descriptions, ingredients and tags in either language. All and Sold out only work in both views. Large menus load in pages; select More to load the next dishes before searching them.

The Import and History tabs keep menu imports, previous edits, undo and rollback in the same workspace.

  • Categories: select Categories to open Manage categories and add, restore or archive categories.
  • New dish: names and descriptions in English and Arabic, ingredients, tags, a Price and Currency, or Price label when not numeric (for example Market price). Add Variants for sizes. Dish images are JPEG, PNG or WebP up to 8 MB.
  • Status: Available, Sold out, Hidden, Archived. Available dishes can be ordered. Sold-out dishes stay visible and can be identified but cannot be ordered. Hidden and archived dishes are excluded from the public catalog.
  • Open History, then Rollback, to restore the previous menu. Undo reverses a single edit while it is still safe.
  • Both inventory views have Edit and Archive actions. Archiving asks for confirmation and removes the dish from the customer menu. Archived dishes remain in Inventory; edit their status to restore them. Hidden and archived dishes cannot be switched on with On sale. Restore an archived category before making its dishes available again.
  • Read-only and held workspaces cannot add, edit, archive or import dishes. Changing the On sale switch still needs permission to update work items.

Each variant has separate English and Arabic names, a price, currency and availability. The dish editor keeps the name fields readable on wider screens and stacks the variant controls on small screens. Use Remove variant to remove a size before saving the dish.

Name and description edits are re-indexed for search. Price and availability changes apply immediately.

Import a menu from Markdown#

  1. On the Import tab, open Import menu Markdown and paste the menu (up to 2 MB and 2,000 dishes).
  2. Select Preview & reconcile to compare current and incoming values. Optionally tick Archive existing dishes not present in this file.
  3. Select Apply & publish.

The importer reads categories, dishes and variants. If the Markdown includes a seven-day hours table, hours update only when all seven days are understood; otherwise you will see a warning and hours stay as they were. Working hours are managed in Store → Configuration → Working hours.

There is no direct import from a photographed or PDF menu for restaurants. Retype or convert it to Markdown first.

Import dish images from MenuPlus#

Paste a MenuPlus menu URL under Import dish images from MenuPlus and select Preview images. Only images are reconciled. Names, prices, categories, variants and availability are never changed. Existing images are kept unless you tick Replace existing images only for rows manually selected. Failed rows can be retried with Retry failed.

Public catalog page#

Restaurants and standard stores (not consultation stores) can publish a visual catalog with one shareable link. The Public catalog panel sits at the top of Inventory for both stores and restaurants.

  1. Fill in English catalog title and Arabic catalog title (up to 100 characters each).
  2. Choose an Accent color (six-digit hex) and optionally upload a Logo.
  3. Select Save settings. Branding must be saved before the first publish.
  4. Select Preview to check the result, then Publish.
  5. Use Copy link or Download QR to share it.

Customers see your items grouped by category, with search, English and Arabic switching, prices and a sold-out marker. The page does not take orders. Customers keep chatting with your AI to order. To let customers order and pay cash on delivery from a page, use the Storefront instead.

After the first publish, changes to items, categories, prices, availability and branding sync to the public page automatically. If a sync fails, the last good version stays public, the panel shows the error, and Retry sync appears. Unpublish removes the page.

When a catalog is published, the AI uses its link for requests like "send me the menu". Before the first publish or after unpublishing, restaurants fall back to the menu link saved on the restaurant profile. Embedding the catalog on your own site is covered in Forms and catalog embeds.

Options and add-ons#

Option groups are the choices a customer makes when adding an item on your storefront: a size, extra cheese, a sauce. Open Store, then Options (title Options & add-ons), in Restaurant and Standard Store workspaces.

  1. Select New group. Start from Pick one (required) or Pick any (optional).
  2. Enter Group name (English) and optionally Group name (Arabic), up to 60 characters.
  3. Set Minimum and Maximum: how many options the customer must and may pick. A minimum of 1 or more makes the group required. The maximum is at least 1 and no more than the number of options.
  4. Add 1 to 30 options. Each has a name in English and Arabic, an Extra price (0 or more, in the store currency), and can be marked Default (pre-selected) or Sold out (shown but not selectable).
  5. Select Save group.
  6. Under Items, choose which groups each item shows, in order. Select several items to Add group to selected or Remove group from selected.

How options behave:

  • On the storefront, the item sheet shows each group as Required or Optional with a hint such as Choose up to 2. The customer cannot add the item until every required group is satisfied.
  • Extra prices are added per unit: two burgers with cheese at +1,000 IQD add 2,000 IQD.
  • Restaurant dish Variants (sizes with their own price) are separate from option groups and still work as before. A variant's price replaces the dish price, and option prices are added on top.
  • The AI co-pilot on the storefront asks for required choices before adding an item to the cart. AI quotes in other chats do not use option groups.
  • Archive removes a group from every item. Show archived and Restore bring it back.

Stock tracking and sold-out switches#

Open Store, then Inventory. Every member can view it. Changing counts and the On sale or sold-out switches needs the permission to update work items (Owner, Admin, Branch admin, Manager, Agent, Designer). Turning Track stock on or off and setting Alert at need the permission to change settings (Owner, Admin, Branch admin, Manager). See Who can do what.

Stores: track stock#

Products can keep a stock count:

  1. Turn on Track stock for a product and answer How many do you have now?. Tracking with no count starts at 0, which sells the product out until you enter stock.
  2. Adjust with Add one (recorded as Received) and Remove one (recorded as Correction), or Set a new Count on hand (recorded as Count).
  3. Set Alert at for the low-stock warning (default 5). Low stock only and Sold out only filter the list.

What happens automatically:

  • An order takes its units off the count when your team accepts it, not when it is placed. This applies to storefront and AI chat orders alike, so an unconfirmed order does not hold stock.
  • Checkout and AI quotes never accept more than what is on hand. If stock ran short before you accept, Accept fails with "Not enough stock to accept this order. Add stock or decline the order." Add stock, or reject the order.
  • The storefront shows Only 3 left (for example) when 5 or fewer remain, and stops the quantity at what is on hand. Customers never see a count above 50.
  • When the count reaches 0, the product goes off sale and shows as sold out everywhere, including the public catalog and pages customers already have open. Entering stock again puts it back on sale.
  • Rejecting a new order changes no stock. Cancelling an accepted order puts back exactly the units it took, and a product it had sold out goes back on sale.
  • Recent movements lists every change: Sale, Restocked from a cancelled order, Received, Count, Damaged, Correction.

The On sale switch takes a product off sale by hand, whether or not you track stock. A product with tracked stock at 0 cannot be switched back on until you add stock.

Restaurants: sold-out switches#

Restaurants mark dishes sold out (86) when the kitchen runs out, and back on when they return. The On sale switch changes the dish between Available and Sold out: the dish stays visible but cannot be ordered, on the storefront, by the AI, and in the public catalog. Only Available and Sold out dishes can be switched here. Restaurant dishes do not have stock counts.

Keep the catalog accurate#

  • Update price and availability in the catalog, never in knowledge-base text or persona instructions.
  • Mark items Sold out or out of stock instead of deleting them, so history stays intact.
  • Add aliases for names customers type in Iraqi Arabic, English or transliteration.
  • Test after big changes: ask the AI for an item's price and availability in the widget or a test number.

Troubleshooting#
